The AFFM will provide administrative and financial support to the ABA ROLI Local Finance Manager and the ‘Conectando Caminos por los Derechos’ project at the local office in Colombia.
Under the supervision and support of the Local Finance Manager and the Deputy Country Director, the Assistant Field Finance Manager will be responsible mainly for coordinating financial and administrative support to carry out all technical or programmatic activities of the ‘Conectando Caminos por los Derechos’ project. Additionally, the AFFM will be responsible for providing some support to the other programs in the local office in Colombia.
RESPONSIBILITIES
• Provides logistical and administrative assistance to carry out program activities and daily operations of the office;
• Maintains and updates the office calendar;
• Monitors and updates staff vacations;
• Discharge all the duties of an assistant accountant, including but not limited to gathering and organization physical and digital of bills and invoices, banking documents, transcription of expenses data, payments and investments in the accountant systems or accountant software managed by ABA ROLI
• Manages petty cash;
• Administers all daily matters related to the operation of the office; for example, supplies (stationery supplies) and supplier relationships (consumables, telephone and internet);
• Prepares and presents expense reports for travel (and other typesof documents); supports the development and monitoring of financial reports related to program activities;
• Organizes financial information for the Finance Manager;
• Provides support in developing expense projections for all program activities;
• Requests and keeps track of contracts; coordinates with the Local Finance Manager if modifications are required;
• Supports the drafting and completion of program financial reports;
• Assists the Country Director, Deputy Country Director, and Program Officers in preparing and reporting travel expenses (and others);
• Supports the coordination of logistics for training workshops and national competitions in Mexico;
• Provides additional support as needed and required by ABA ROLI Colombia.
BASIC QUALIFICATIONS
• At least eight semesters in Accounting;
• Extensive experience with financial management softwares and accounting spreadsheets;
• Good computer skills in Excel and Word;
• Intermediate fluency in English and Spanish (oral and written);
• Strong interpersonal skills.
REQUIRED QUALIFICATIONS
The Finance Assistant must be organized, detail-oriented, professional, efficient, ethical, responsible, reliable, and flexible. In addition to strong communication skills, the Finance Assistant must have the ability to use discretion when working with confidential documents and information, as well as the ability to complete assigned tasks, multitask, delegate to other staff, and work in a high stress environment. The individual must be willing to travel within or outside the country for the implementation of different projects and objectives of the organization.
PREFERRED QUALIFICATIONS
• University degree in Accounting, Administration, or related fields;
• Experience in financial management or financial management of United States Government-funded programs;
• Familiarity with QuickBooks accounting software;
• Experience in management of virtual platforms (social networks and virtual classrooms);
• Work experience in a professional environment with people from diverse cultural backgrounds.
