JOB SUMMARY

The ABA ROLI is seeking an Executive Assistant to perform diverse, confidential administrative and secretarial duties requiring comprehensive skill and knowledge of the Association's policies and procedures for the Director of the Rule of Law Initiative, Chair of the Board of Directors and board members. The Executive Assistant will independently manage small projects, which may include participation by member/leaders, requiring the ability to interact with senior-level individuals in a fast-paced environment and under pressure while remaining flexible, proactive, resourceful, and efficient. The Executive Assistant may perform research to assist the executive in his/her work, and must have excellent written and oral communication skills. He or she must also possess the ability to solve routine and complex inquiries, making independent decisions in the absence of the Director when necessary. The Executive Assistant will act as a gatekeeper, and must maintain high levels of professionalism and confidentiality.

RESPONSIBILITIES

  • Collect and disseminate information to the Board Chair and Board members; provide administrative and logistical support for Board and Committee meetings; prepare and edit correspondence, communications, presentations and other formal documents to Board members and staff;

  • Maintain and update the Director’s calendars and schedules; appointments and meetings; Troubleshoot problems, providing back up documentation and disseminating information as appropriate;

  • Answer and screen telephone calls and visitors, receive and deliver messages;

  • Organize materials for meetings, including travel briefings for the Director; write, review and disseminate meeting minutes;

  • Maintain travel arrangements for Director’s office, to include oversight of travel authorizations and expense reports, review trip reports for content and formats, and coordinate travel arrangements;

  • Other duties as assigned by the Director.

QUALIFICATIONS

  • Bachelor’s Degree from four-year college or university, or equivalent experience;

  • 5+ years of administrative experience handling a wide range of administrative and executive support related tasks;

  • Strong knowledge of standard office administrative practices and procedures;

  • Strong interpersonal and communication skills, including prior written and oral working experience with senior personnel;

  • Excellent calendar management skills, including coordination of complex executive meetings;

  • Ability to maintain and safeguard confidential information;

  • Proficient computer skills and in-depth knowledge of Microsoft Office Suite;

  • Knowledge of or experience in international affairs an advantage.
