JOB SUMMARY
The American Bar Association Rule of Law Initiative seeks an Administrative Assistant for its Latin America and the Caribbean Division. This will be a full-time position in Washington, DC. The Administrative Assistant will be responsible for providing administrative support to the Division in its implementation of rule of law programs in Latin America and the Caribbean. Some of the duties assigned will likely be to support the process of identifying, selecting and communicating with consultants; support the processing of contracts; make travel arrangements; provide logistical support for meetings; process invoices and expense reports; process petty cash reimbursements; coordinate conference calls; track cost-share contributions; manage room reservations and catering; handle international and domestic mailing; maintain information databases for consultants and contacts; maintain phone lists and billing information; provide English-Spanish translation and interpretation
Responsibilities
- Oversees and coordinates administrative, program, and office activities. Establishes, selects, implements, and coordinates office procedures and systems;
- Exercises, on a continuous basis, administrative judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area.
- Possesses extensive knowledge of software for example spreadsheets, relational databases, etc. Possesses strong communication skills and interpersonal skills.
- Point of first contact for department/entity. Must maintain confidentiality and work well under pressure.
- Other duties as assigned.
Qualifications
- Associates Degree or equivalent experience (3+ years of previous administrative experience, some post-high school course work or completion of an appropriate vocational program);
- Thorough knowledge of Microsoft Office Products and basic internet research skills;
- Must be able to multi-task;
- Fairly strong business writing skills;
- Additional education may be substituted for years of experience.
Preferred qualifications:
- Bachelor’s degree;
- Professional proficiency in English and Spanish;
- Experience working with Latin America and the Caribbean
- Strong writing skills;
- Strong communication and interpersonal skills, and ability to work as a team player;
- Strong organizational and multitasking skills, and ability to prioritize tasks;
- Thorough knowledge of spreadsheets and databases;
- Internet research skills;
- Experience working in international development field or on U.S. government-funded programs; and
- Proficiency in French or Portuguese
